The following terms and conditions of business (“Terms and Conditions”) apply to the provision by the Altia Solutions group (the “Company”), registered in Scotland with registered number SC228451, of a bank statement processing service known as the Xaltia Data Service (the “Service”) to those third parties who shall accept these Terms and Conditions for the provision of the Service (the “Client”).

Overview

The Company shall provide the Service whereby the Client shall provide bank statement information to the Company to enable the Company to extract the information held in the bank statements and transfer this information to Excel spreadsheet(s) and then return these Excel spreadsheet(s) to the Client.

Terms & Conditions of Business

  1. Client Obligations

1.1               The client must provide the images of the bank statement pages in electronic file(s) that meet the minimum requirements as detailed in the Technical Specifications at Appendix A.

1.2               Where such files are supplied by electronic means – such as by email – then the Client should ensure that the data is supplied encrypted using a mechanism agreed with the Company in advance. Appendix A contains a suggested 3rd party product. However it is the responsibility of the Client to ensure any encryption product used meets their security requirements.

1.3               It is the responsibility of the Client to ensure that all the pages required to be processed are contained within the file(s) and the scanned images are of a high enough quality to allow processing by the Service.

1.4               The Client will not hold the Company responsible for any expense or costs in the event that the scanned images are not suitable for processing by the Service or information is missing or unreadable within the electronic file.

1.5               The Client will pay for the Service by BACS transfer or Credit Card once they have been informed of the price by the Company and the Client agrees to proceed with the Service.

  1. Company Obligations

2.1               The Company will check to confirm that the electronic file(s) submitted are suitable for processing by the Service.

2.2               If the file is suitable for processing the Company will inform the Client of the charge for processing the file(s) before processing commences. The Company will also provide an estimated delivery date for the processing to be completed.

2.3               The Service will commence once payment has been received either by BACS transfer or by Credit Card.

2.4               The Company will provide the Service and return the Excel spreadsheet(s) to the Client by the estimated delivery date.

2.5               The Company will return the processed Excel spreadsheet(s) to the Client using the same email address as the file(s) were originally sent to the Company unless the Client informs the Company otherwise by email.

2.6               The Company will return files in encrypted ZIP file format.

2.7               The Company will only respond to queries from officers of the Client unless prior written (or email) authority is given by an officer of the Company to communicate with an employee.

2.8               The Company will treat all information received from the Client in strict confidence and will not communicate any information either about the file(s) being processed or the information contained within the files without the prior written authority of the Client unless required to disclose information by reason of a court order or other statutory authority with such powers.

  1. Other Terms & Conditions

3.1               Nothing contained within this document or in any other correspondence will suggest or infer that the Company is acting as an agent for the Client. The Service is provided by the Company on a ‘job-by-job’ basis and there is no long term or continuous contractual relationship between the Company and the Client.

3.2               The Client accepts that the maximum liability for damages they may claim form the Company in respect of the Service is the total charge paid by the Client for the Service and no other claims will be considered.

4.8 This website and the use of it is governed by Scots law and Scottish courts shall have exclusive jurisdiction over any disputes connected to our websites.

Appendix A

Format of Images supplied by Client

  • Multi page TIF format
  • Black & White
  • 300 dpi
  • CCITT G3 or G4 compression

Images may also be supplied as Adobe PDF format files (Black and White, 300 DPI) but this may decrease the overall accuracy of processing due to the type of compression applied within the PDF file. We therefore strongly recommend configuring your scanner for multi-page TIF format if possible.

Suggested Encryption for Electronic Files

The free open source product “7Zip” can be downloaded from:

http://www.7-zip.org/

We recommend using AES-256 encryption on the generated ZIP files.

NB It is the responsibility of the Client to ensure that whatever encryption process is used to secure access to the information meets their security standards.   The Company accepts no responsibility for any failure in the encryption, or the Client’s use of encryption, that leads to a security breach when communicating the data to the Company.
